Never the Same Weekend

Traditionally, NTSWs are opportunities for Girl Scout Service Units to provide a 24-hour camping experience at Trefoil Ranch in Provo Canyon. Service units have the option to provide all their own meals and programming or they can contract with Girl Scouts of Utah’s Program Team to provide meals and/or programming for their group. Service units determine how much to charge the participants and handle their own registrations.

In-Person NTSW Reservation Process

Set Up or Verify Ultracamp Account

Option 1: Existing Ultracamp Accounts

  • Enter your Log In Username and Password.
  • Select the “Forgot your login information?” if needed.
  • Your “My Account” page will appear with your “Account Members” displayed.
  • To review your account members, click on a person’s name.
  • Their account information now appears.
  • Select the “Edit my bio information” if needed.
  • Select “My Account” to go back to the main page, listing your account members.
  • Continue to verify account members.

Option 2: Create a New Ultracamp Account

  • Select “New Account” from the “I DO NOT have an account” section.
  • Enter Primary Contact information for a member of the Service Unit Team.
  • It is recommended that the NTSW Event Lead reserves the date. If a person other than the NTSW Event Lead reserves the date, please also indicate the name and contact information of the NTSW Event Lead as the Secondary Contact.
  • Click “Create Account”, then when the new screen appears, click on “My Account” on the navigation menu.
  • Your “My Account” page will appear with your “Account Members” displayed, showing your Primary Contact’s name.

NTSW reservations are made on a first-come, first-served basis.  Please have a few possible dates in case your first choice is unavailable.

Make a Payment

As of May 1, Girl Scouts of Utah will charge fees per building, per every 24-hour NTSW experience. 

  • There is a $200 minimum for every NTSW 24-hour reservation. All service units will automatically reserve the Lodge at $200.

  • Service units can reserve just the Lodge during the initial reservation and add more buildings at a later time if those buildings are still available.
  • Service units cannot cancel or remove a building reservation at any time unless they reschedule the entire NTSW experience.
  • For a 48-hour NTSW experience, service units can choose to reserve three buildings on the first night and only the lodge on the second night if they like.
  • At a later date, service units may add program services, meal services, use of camp program areas, or cabin lodging for additional fees.

Once registered, the Service Unit will receive a confirmation email with more details for the weekend and instructions on how to request program and/or meal services. Service Units will be asked for their attendance information and any requested programs and meals.

How much does a NTSW cost?

Circle K and Rocking P cabins are available during May and September. Each cabin is $50.

In all months other than May and September, GSU will charge $5/person for every participant above the 125-person capacity. 

Service units may lead their girls in low ropes course, archery, or snowshoeing at camp with an appropriately trained volunteer for $5 per person per program.

The Program Team will provide the program materials and the staff for a Program Trio package that includes three activities at a cost of $15 per person no matter which activities are chosen.

The Program Team will provide the program materials and the staff for any activities chosen from the A La Carte menu of options. Service units can select one or two of these activities priced at $5-$16 per person depending on the number and type of activity.

Meal service provided by camp staff costs $35 per person.

NTSW's All-Inclusive Package includes meal and program services provided by the Program Team. This package is a flat rate of $50 per person for three meals, two snacks, and three activities.

What are the amenities and lodging maximums?

Please review the Current GSU Health and Safety Guidelines webpage for information about lodging/sleeping capacities in overnight accommodations. The following capacities may decrease if those guidelines deem it appropriate.

Circle K Cabins (only available in May and September)

  • Three cabins sleeping ten people each on metal-framed bunkbeds with mattresses
  • Fire pit
  • Picnic table

  • Nearby restrooms with flush toilets
  • Electricity 

Rocking P Cabins (only available in May and September)

  • Three cabins sleeping eight people each on metal bed frames with mattresses

If you need more spaces for sleeping, you can put more mattresses on the floor in the Lodge.  GSU will charge $5/person for every participant above the 125-person capacity.

Will the Service Unit have the camp exclusively?

Trefoil Ranch is designed to accommodate more than one group at a time. There will be weekends when other groups may be on site at the same time as your group. These groups may be in the cabin units or at program areas.

Is there a contact on site if the SU needs help?

The Camp Ranger will be on site to help ensure the facilities are ready for your Service Units. The Camp Ranger will be on call if you need anything during your rental time. Service Units will also need to check out with the Camp Ranger before leaving camp.

Can we request council training for our NTSW?

The council can provide Adult Training Services (i.e. Camping 101, First Aid and CPR, or Dutch Oven Cooking) to adult volunteers upon request from the Service Unit.

  • Rates vary based on training focus
  • The council will handle all payments in regards to Adult Trainings. Payments for Adult Trainings will be separate from the facilities rental and program and meal services
  • The Service Unit’s will need to submit payment for services at least two weeks prior to the event
Can girls use activity credits to pay for NTSW?

Girls can use Activity Credits to help pay for their Never the Same Weekend.

The Service Unit will need to turn in their Activity Credit Redemption Form with the Activity Credits.

This can be done whether the Service Unit is providing their own meals and programs or if they are having the Program Team provide these services.

Are activity scholarships available for girls?

Please let girls and families within your Service Unit know that GSU has Activity Scholarships that can be used to help with participant fees for Never the Same Weekend.

Girls can receive one scholarship during the school year and one during summer camp.

What is the refund and cancellation policy?

It is the responsibility of the Service Unit’s Event Representative to decide to cancel the NTSW and notify all registered participants.

If the Service Unit’s Event Representative decides to cancel the event due to weather safety concerns, the Program Team will work with that person to reschedule the NTSW for another time. All rescheduled events are subject to availability.

If the Service Unit’s Event Representative decides to cancel the event for reasons other than weather safety and does not reschedule, the initial reservation fee of $250 is non-refundable.

What are the program service options?

Service units may plan their own programs or purchase program services from the Outdoor Program Team.

Service Unit-Led Program Services

  • The service unit is responsible for providing their own programming and volunteers to run the program
  • Volunteers are responsible for following all Safety Activity Checkpoints related to the programs
  • Service units may lead their girls in specific program areas at camp with an appropriately trained volunteer
  • Low ropes course, archery range, and snowshoe rentals are available for $5 per person per program
    This is a discounted rate for service unit volunteers who facilitate the programs themselves
  • Programs are weather dependent
  • Programs are dependent on volunteers being trained in these areas and approved by GSU 
  • Certifications or training/experience documentation for program staff must be uploaded into Ultracamp.com or emailed to info@gsutah.org prior to the NTSW
  • Service units will need to submit payment for activities at least two weeks prior to the event

Camp Staff-Led Program Services

  • The Outdoor Program Team will provide the program materials and the staff
  • Adults intending to participate in the programs will need to pay for the program
  • Adults who are serving in a supervision role (only supervising the girls participating in the program) will not need to pay the program fee
  • Program selections must be made in Ultracamp.com at least six weeks prior to the NTSW
  • Service units will need to submit payment for services at least two weeks prior to the event

Program Trio Package

  • Minimum of 30 people
  • $15 per person no matter which activities are chosen
  • $8 activities will be discounted to $5 if the service unit chooses the Program Trio Package.
  • It’s Your Story – Tell It! Journey program selection is not a selection included in the $15 Program Trio option

À La Carte Programs

  • $5-$40 per person, depending on number and type of program choices
  • The service unit will select one or two programs from the list of program choices

NTSW All-Inclusive Package
The Outdoor Program team can provide both meal and program services. The Service Unit will need to submit payment for services at least two weeks prior to the event.

  • $50 per person flat rate.

Program Trio Package

  • Minimum of 30 people
  • Includes three camp staff-led programs

  • Minimum of 30 people
  • Includes dinner, breakfast, mid-morning snack, lunch, and an afternoon snack
  • The service unit will work with the Outdoor Program Team to select its menu from the menu selection guide 
  • The Outdoor Program Team will provide the food and the kitchen staff
What are the meal options?

The Service Unit may plan its own meal services or may purchase a full meal service from the Outdoor Program Team.

Service Unit-Provided Meal Service

  • The Service Unit is responsible for providing its own food and its own volunteers to work in the kitchen
  • Volunteers must be 18 years old or older and have a current Utah Food Handler’s permit
  • Certifications, permits, or training/experience documentation must be uploaded into Ultracamp.com or emailed to info@gsutah.org prior to the NTSW
  • Volunteers are responsible for following the American Camp Association standards, Utah Health Department standards, and all standards posted in the industrial kitchen
  • The industrial kitchen at Trefoil Ranch includes a convection oven, 48-inch griddle, two ovens, walk-in refrigerator and freezer, stand-up refrigerator, ice maker, industrial dishwasher, three-sink washing station, heated serving line, cold serving line, salad bar, toaster, one microwave, two coffee pots, and all pots, pans, dishes, and utensils

Camp Staff-Provided Meal Service

  • Minimum of 30 people
  • $35 per person
  • Includes dinner, breakfast, mid-morning snack, lunch, and an afternoon snack. The Service Unit will work with the Program Team to select its menu from the menu selection guide
  • Menu selections must be made in Ultracamp.com at least six weeks prior to the NTSW
